Reporting requirements

Programme External Examiners 

The Programme External Examiner Report template is available as a download here.  

If you are a Programme External Examiner appointed to maintain oversight of a Programme, you should complete sections 1 to 13 of the report.  

As you can see from the report template, we ask you to consider the soundness of the assessment process and opportunities for education enhancement and ask you to comment on: 

  • the appropriateness of standards set 
  • comparability of student performance 
  • assessment processes 
  • student performance 
  • strengths and innovative features 
  • the information made available to you 
  • enhancements to the student experience 

You are requested to submit your report to eesoton@soton.ac.uk no later than four weeks after the final Board of Examiners meeting for the academic year of the report. 

Chief External Examiner 

The Chief External Examiner Report template is available to download here. 

If you are a Chief External Examiner, you should complete all sections of the template.   

As a Chief External Examiner, you should expect to receive copies of the reports completed by the Programme External Examiners.  If you have not, please contact the Programme Team. 

As you can see from the report template, we ask you to consider the soundness of the assessment process and opportunities for education enhancement across all versions of the programme and ask you to comment on: 

  • whether the academic standards consistent between the versions of the programme taught in each location/delivery mode 
  • any recommendations for the Programme Team(s) 
  • any innovative or good practice identified. 

Guidelines for External Examiners working across multiple delivery locations 

New guidelines have been developed to support External Examiners working across Delivery Locations, this includes a checklist of prompts to aid you in completing your report.  You can find this guidance here. It was also quoted in your letter of appointment. 

  • You are requested to submit your report to eesoton@soton.ac.uk no later than four weeks after the final Board of Examiners meeting for the academic year of the report.  However, if reports from Programme External Examiners are delayed, this will also delay your deadline 

You should expect to receive a response to your report from the School within eight weeks of submitting it. Payment of fees is conditional upon receipt of the report. 

Good Practice in completing the report. 

Please remember that reports are published (in full) to students, it is therefore important that student names and numbers are not used at all.   Please also avoid listing dissertation titles or specific student examples/assessment/incidents/discussion.  Should you have concerns about individual students you should raise these directly with the Programme Team(s) or Examinations Officer or during the Board of Examiners. 

As the names of teaching staff are already in the public domain, the restrictions on mentioning them are less critical, but again, keep in mind that these reports will be published to students, and any issues that you wish to raise regarding their professional practice or regarding any interactions with staff should be raised directly with the Programme Team or the Deputy Head of School (Education).
